Configuring VoiceMail

Polycom Phones: There are 4 function buttons just below the display, they will change functions depending on the state of the call. We will call it .F:.

 

F: = Top 4 Buttons on the phone: (The labels will show in the display just above each button.)

 


Hands Free Intercom

Intcom:
            Press the key Intcom Dial the EXT and press the Enter key You will hear a beep. You can talk.

 

Callers:  Is the list of caller.

Other call lists are available in the phone menu.

            Press the .Menu. button and use the .arrow. and the select (Center key) to navigate the menus. Or dial the menu number.

Missed call list:

            Dial 131

Placed calls:

            Dial 133

Flwme: Activate the Follow Me feature ) IF is has been programmed into your extension. Follow Me will ring your EXT AND your cell phone.

            NOTE: Call will go to the first voicemail that answers the call.

 

DND: .DO NOT DISTURB. If this button is pressed all incoming calls goes directly to voicemail. .THE PHONE WILL NOT RING.

Note: This is a system setting and there is no indication on the phone if the feature is ON.

 

Send or Dial: Press this button to indicate you are done entering numbers and proceed with the call. The # will also do the same in many other phones.

 

Making a call: There are several ways one can make a call.

1-      Dial a number and press the F:.Dial. button for hands free call.

2-      Dial a number and lift the handset and the call is placed.

3-      Lift the handset dial the number and press the F:.Send. button.

Notes: On a regular phones, the .#. is used as the .Dial. or .Send. button. (See the .Feature Codes. list for more codes.)

 

 

Answer call

1-      Distinctive ring for each main number

2-      Phone display Caller ID.

3-      When a Caller ID is preceded by "IVR_" it indicates that the call is incoming via the auto attendant number.

 

Answer a ringing phone while on a call (Call Waiting)

Call will blink on line 2 and a beep is heard on the ear piece or speaker.

A-    Press the ringing line button or dial **

B-    The present call is automatically placed on hold, you will be connected to the second call. Press line button to switch from one caller to the other, the caller is automatically placed on hold and the call on hold will blink .red..

C-    You may place the 2 called in conference by pressing the F: .CONF. in the display screen.

 

Call hold: Press the hold button

To continue a call press the F: .Resume. button

 

Multiple calls on hold: Press the arrow up or down to scroll thru the calls on hold and F:.Resume. on the selected call.

 

Transfer call:

1-      Blind transfer: Press ## quickly. OR Press F: .Transfr. then F: .Blind., Dial the destination EXT and press the F: .Send.

2-      Attended transfer: press the F: .Transfr. button or *2,  Announce the call . hang-up and the call is transferred or press the F:.Cancel. button to continue with the caller.

3-      Transfer Direct to voice mail: Use Transfr + Blind and dial 8+EXT

Note: Only a blind transfer will forward the Caller ID of the incoming caller to the destination.

 

Parking calls:

1-      To park a call: Transfer the call to ext 70 wait for the system to tell you the parking EXT

2-      To pick a parked call: dial the EXT announced by the system when the call was parked.

Note: A parked call will ring back in 1.5 minutes, if not answered it will ring the group sequence with a triple ringer.

 

 

Paging System: (One Way Paging) Dial the Paging EXT.

NOTE: *** WAIT for the beep, (it may take a few seconds depending how many stations are being paged. (See Paging Groups in the Ext List tab for the paging extensions areas.)

 

Hands Free Intercom: dial *80 (wait for a dial tone) dial the EXT press Send , wait for the tone and talk.

     The CALLED party phone will automatically answer the incoming intercom call with a beep tone anouncing the call.

(Talk normally as you would using the speaker phone.)

     The CALLED party phone will hangup automatically when the calling party hangup and terminate the call.

     *55 Disables intercom calls (PRIVACY) Disables autoanswer. Will not disable one way paging.

     *54 Enables intercom calls (Phone will autoanswer on intercom request.)

 

 

Pick up a ringing phone in your pickup group. *8 F: .Send.

 

Conference: 2500, 2501, 2502

1-      (3 people only) while in a call press .Conf. dial second party and press Conf again

2-      Group conference: request a conference bridge from operator and transfer all your parties to that bridge. OR

3-      Instruct each party to call the auto attendant number and dial the .PIN.  PIN = conf bridge ext number.

Night Mode (toggle): 

To place the system in NIGHT or AUTO MODE, dial *280. If the system reply "Day reception zero DISABLED" it will follow automatically the NIGHT/DAY programing.

If the system reply "Day reception zero enabled" Automatic mode is bypassed and all incoming calls will ring the EXTENSIONS as a normal day.

Recording a call: 

PLEASE DELETE THE RECORDING when you no longer need it. The system has a limited amount of storage space.

Use your EXT as the login; and your Voicemail password.

 

VoiceMail Setup and configure! 

  • To enter your voicemail dial *97 code from your phone, it will ask for your password (default 12345) be sure to end it by pressing "#".
  • You may also Dial *98 from any phone, it will ask for your extension number, then for your password.
  • The voicemail prompt will help guide you thru telling you what to do.
  • First thing to do is to setup your name, this will setup the main phone book in the system IVR (Interactive Voice Response) the "Answering Machine", when a call enter the first 3 letter of your first name the system will play your name in your voice to the caller. If it is not set it will spell you name letter by letter as entered in the main system database, usually your full name. ( a bit anoying to the caller).
  • Press 0 (zero) to enter your mailbox configuration options. Press 3 to record your name (terminate it with the #) follow the prompts to: listen to it, record it again or save it.
  • For the most part that is all you need to do to get it working.
  • You may set your "unavailable" greeting (did not answer the phone), your busy greeting ( you are on the phone) and a temporary greeting like when you go on vacation.... In most cases the preset system greetings are just fine.
  • Note: if you setup your temporary greeting it will automatically turn on and you must turn it off so the system can again play the normal unavailable or busy greetings.
